2. 10 critical criteria for choosing the perfect conference room
2.1. Number of seats & room size
CRITIQUE: The room should NOT be too small or too big.
Why?
- It grows too small: Cramped, stifling, guests at awkward distances, bunching up during breaks
- Room too big: feeling „lost”, bad acoustics, cold atmosphere
Ideal:
- Theatre seating: 1.2-1.5 m² per person
- U-shaped seating: 2-2,5 m² per person
- Banquet (seated at table): 1,5-2 m² / person
- Standing buffet (cocktail): 0,8-1 m² / person
Example:
- 150 theatregoers = minimum of 180-225 m² of space needed
- 150 people banquet = minimum 240-300 m² room required

2.3. Technique - What is the standard and can it be taken outside?
CRITIQUE: Technology can be the success OR the failure of an event.
Which you should definitely check:

- Projection screen (or LED panel)
- Microphone (wired + handheld)
- Sound system (speakers, amplifier)
- WiFi (stable, min. 100 Mbps - NOT „guest” WiFi!)
- Flipchart, blackboard
- Extension cables, splitters
What to ask:
1. „What resolution is the projector?” (1920×1080 minimum)
2. „Is there a technician on site?” (if something goes wrong)
3. „Can external technology be introduced?” (LED wall, stage)
4. „Is there a separate room for technical rental?” (sometimes PLUS 50-150k Ft!)
Example (bad experience):
CEO presentation frozen in front of 150 people. Why? **Long WiFi** (should have been 100 Mbps instead of 10 Mbps).

2.4. Natural Light - Window Or Dark Space?
Two camps:
PRO natural light:
- Energising, fresh
- Better mood in the daytime
- Healthier (no headaches after 8 hours of LED)
PRO dark room:
- Better projection (presentation, video)
- Fewer distractions
- More professional (conference feel)
Compromise:
- Blackout curtains - can be drawn during the day (for projection) and raised at night (for dinner, networking)

2.5. Location & Accessibility
CRITIQUE: If the location difficult to access = guests are late, frustrated.
Which you should check:
Parking:
- Is there parking available on site?
- How many cars can you fit?
- Free or paid? (if paid = how much?)
Public transport:
- Which metro/tram is closest?
- How many minutes on foot?
Distance:
- Within Budapest: max. 20-30 minutes from the office
- In rural areas: max. 1 hour by car from Budapest
Special needs:
- Accessible entrance? (wheelchair accessible?)
- Airport transfer? (foreign guests)

Questions:
1. „What is the style of the book?” (do you have your own kitchen or an external one?)
2. „Is there a menu tasting facility?” (can you try it in advance?)
3. „Can external catering be brought in?” (can they cook cross-contamination-free. If you want special food - e.g. vegan fine dining)

2.7. Price & Budget - Hidden Costs
CRITIQUE: Price in the offer NOT always the final price.
Hidden costs (which are NOT included in the first round):

2. Cleaning fee (cleaning fee) - Example: +50-100.000 Ft
3. Overtime pay - If it lasts until 20:00 instead of 18:00 = +50-150.000 Ft

5. Service charge (service charge) - 10-20% on catering price - not always clear

2.8. Accommodation - Is it necessary? Is it available on Site?
If you have a multi-day event:

- Is there ventilation / air exchange
Example (bad experience):
A 200-strong conference in August. Undersized air conditioning. 30°C in the room. Guests faint.

2.11. Cancellation Conditions
CRITIQUE: What if something makes it necessary to cancel the event?
Stenderd cancellation conditions:
- 6+ months before: full refund
- 3-6 months before: retain 50% advance
- 1-3 months before: retain 80% advance
- 0-1 month before: full amount payable
What to ask:
1. „What is the cancellation policy?”
2. „What happens in case of force majeure?” (war, epidemic = reimbursement?)
3. „Can it be rescheduled for another date?” (if instead of cancellation)
